ACOUSTICAL REGULATIONS  
Exhibitors operating equipment during LOUPE are required to comply with Section 1910-95, Occupational Noise Exposure of the Department of Safety and Health Administration Regulations. Exhibitors operating sound amplifying or audio-visual equipment must do so in a manner as to not disturb other exhibitors. Show management will be the sole arbiter of the acceptability of sound levels. Sound systems & speakers must be positioned pointing inwards so that sound can be contained within the perimeter of the booth. Please note that crowds must not form within the aisles when presentations/demonstrations are given. 

APPROVAL OF STAND AND BOOTH DESIGNS  
Show management approval is required for all stand and booth structures. Stand plans should be uploaded to the portal no later than Friday 10 July 2026. For any specific questions please contact EXPO APPROVALS. 

BADGES AND PASSES  
For security reasons all persons working at or visiting LOUPE will require a badge to enter the Convention Center at all times. Exhibitor badges - To avoid delays on site exhibitors should register for their badges on-line in advance via the 'Visit Connect Badge Portal' - link can be found in the 'Badge/Lead Retrieval' Section within this Exhibitor Portal. A maximum number of three exhibitor badges are permitted for each 100 sq.ft. (9 sqm.) of booth space. Confirmation email will be emailed out once registration is complete; you will then need to collect your printed Exhibitor badges onsite from the main entrance exhibitor badge desk.  

BALLOONS  
The use of balloons filled with combustible gas is prohibited in the halls. Balloons filled with safety gas may be allowed with organizer approval, provided they are anchored, within your stand space, and positioned no higher than 4 meters from the floor (2.5 meters for shell scheme stands). Charges apply for damage to air handling units or roof structures caused by balloons.    

Flammable gases are not permitted, and helium cylinders must be removed after filling.    

If you are planning to have balloons on your stand, please submit a plan detailing location, height, and attachment of the balloon, along with your stand plan. Include balloons in your risk assessment or submit a separate form if already completed. 

BOOTH DESIGN & DISPLAY GUIDELINES  
All exhibitors must ensure their booth design aligns with the professional and cohesive environment of LOUPE Americas. Please note that LOUPE Americas is not a Pipe & Drape event. Pipe and drape are neither provided nor permitted, and exhibitors are required to have carpet or another suitable floor covering in their booth. 

Displays that are deemed unprofessional by Show Management will not be permitted. Additionally, all exhibitors, regardless of booth height, must submit a diagram of their stand design to Show Management through the exhibitor portal no later than July 10, 2026.

 

Booth Types 
1. Linear Booths (Perimeter Area ONLY): 

Linear booths located along the perimeter of the venue must adhere to the following guidelines: 

  • Back wall: The maximum height must not exceed 8 ft, but this requires written approval from Show Management. 
  • Side walls:  
    - The rear half of the booth walls must not exceed 8 ft in height. 
    - The front half of the booth walls must not exceed 4 ft in height to maintain sight lines to neighbouring booths. 
  • Rigging: Rigging is not allowed for perimeter stands. 
  • Banners: Suspended banners are not permitted for perimeter stands. 

2. ALL stands NOT in the perimeter: 

All other stands, which have aisles on some or all sides and are not located in the perimeter area, must follow these guidelines: 

  • Wall height: The maximum wall height must not exceed 12 ft. 
  • Rigging: Suspended hanging signs or banners are only permitted above booths that are 400 sq ft or larger. These banners can be suspended up to 20 ft, but exhibitors must confirm with Show Management whether their booth location allows for rigging, as ceiling heights vary. 
  • Open frontage: At least one-third of each open side of the booth must remain open to the aisle. Additionally, walls that face an aisle must not exceed 15 ft in length without openings or natural breaks, such as glazed panels or low sections. 

Double story booths are NOT permitted.

CHILDREN  
No persons under the age of sixteen will be permitted into the exhibition halls.  

DAMAGE & DILAPIDATION  
Exhibitors will be liable for the expense of repairing any damage or dilapidation to the Rosemont Exposition Center caused by their actions or those of their contractors or employees.  

FOOD AND BEVERAGE  
Rosemont Catering Company is the exclusive caterer to the Convention Center. They must provide all food and beverages served in the Center. Refer to the Catering Section in this portal for menu selections and the catering order form.

HANGING SIGNS & BANNERS  
Suspended hanging signs / banners are only permitted above booths that are 400 sq ft or larger. Possible exceptions may be made for booths on the perimeter of the show, subject to written approval from Show Management. Banners must be suspended at least 2 ft inside the booth footprint. Rigging is permitted where possible at a max of 20ft from the floor to the top of the banner. Please check with show management to see if your booth location allows banners to be suspended and to check ceiling height as this varies in the halls. 

Suspended hanging signs / banners should be positioned at least 2 ft inside the booth area so as not to encroach on other exhibitors’ space. Installation and removal times will be established according to the availability of the hall and access to the area under the sign. 

Exhibitors requiring signs to be hung from the ceiling must give notice to the official contractor Rosemont Exposition Services, Inc. Please use the “Hanging Sign Notification Form” found in the 'Hanging Sign Information' link in the section 'Stands Built By You' of this portal or in the RES website.  

Please note: The rear side of any banner that overlooks a neighboring stand must NOT contain any branding.   

INDEPENDENT CONTRACTORS – GUIDELINES  
If an exhibitor appoints a company other than Rosemont Exposition Services, Inc. to install and dismantle their exhibit they should read and complete the Third-Party Billing Form, found in 'Stands Built by You' section of this portal. Please also refer to “Union Labor Guidelines” found in 'Stands Built by You' section of this portal. It is advisable for independent contractors to be added as a user to the portal. The main contact for the booking can do this on the home page of this portal by clicking the ‘Manage Users’ button. Once added, the contractor will send their own link to access the portal. 

MACHINERY & EQUIPMENT  
Machinery is defined as machines and equipment manufactured or distributed by an exhibitor and placed in a position comparable to actual industrial installation. Machinery must not be placed closer than three (3) feet to a main aisle and one (1) foot from any cross (side) aisle in the hall. Please note that the drayage costs for machinery will be capped at $10,000 as in previous years. 

FUMES - If your machine emits fumes, you must declare this when submitting your stand design to Order Defined. This will be monitored on-site, and machines may be turned off if fumes are not controlled. 

PARKING  
Daily parking without a pass is $20 for 24 hours. Exhibitors are to claim their parking ticket at the garage and bring it into the RES Service Center for payment and their receipt.

Two day event             $35.00 
Three day event          $50.00 
Four day event            $60.00 
Five day event             $70.00 

RODUCT GIVEAWAYS & HANDOUTS  
Offering or giving out any handouts such as literature, product samples or specialty materials shall only take place within the confines of the exhibitors’ own booth.

SMOKING POLICY  
Smoking is not permitted in the exhibit halls or meeting rooms. 

STAFFING POLICY  
At least one representative of the exhibitor should be on duty in the booth during show hours. No more than three (3) representatives of the exhibitor may work per 100 sq.ft./ 9 sq.m. (single booth) of rented space at any one time.  

STORAGE  
No packing cases or crates may remain in the Convention Center while the show is open to attendees. Any flammable containers must be removed from the hall. Rosemont Exposition Services Inc will, if required, arrange for the removal and return of such items. All containers should be clearly marked with the exhibitors’ name and booth number. 

UNION LABOR GUIDELINES  
Exhibitors are advised that union labor will be required for certain aspects of exhibit installation and handling. Please read the Labor Union Guidelines, under the Utilities and Labor, section 5.  

VIDEO-TAPING, PHOTOGRAPHING & BROADCASTING  
Video-taping or sound recording during LOUPE for the purpose of commercial use, broadcasting or distribution to the general media is prohibited without the prior written consent of the organizer. Permission should also be obtained from individual exhibitors prior to the filming or photographing of their exhibit.
