Aisles & Gangways
Exhibitors must ensure that all aisles/gangways surrounding the stand are not blocked during build-up, show open days, and dismantle period. No part of any stand or exhibit, including fascia, signs, lighting, corner posts, floral or other fittings shall protrude into or overhang any aisle/gangway or adjacent stands, obscure any fire, or exit signs. Additionally, any display or other items suspended from the ceiling or attached to the stand must not project over the front of space taken by another exhibitor. Storage behind stands is strictly forbidden, any goods left behind stands will be disposed of immediately for Health, Safety and Security reasons.

Brochures / Flyers Distribution / Giveaways
Exhibitors or any staff members working on behalf of the exhibitors may only conduct business and distribute literature within the boundary of their own stands. Under NO circumstances may activities spill into the gangways / aisles of the exhibition area which includes the halls, concourse, and outdoor area.

Children 
There are no childcare facilities at this event. No children under 16 are permitted in the halls during build up, event days and breakdown. The exhibition is a trade event, and the nature of the exhibits will reflect this, as such it is not a suitable environment for children. 

Fabrics & Decorative Finishing
All textile materials being used for decorative finishes must fulfill the following health & safety criteria:

  • Shall be able to pass a test for flammability or for surface spread of flame
  • Fire retardant certificate is to be submitted for any fabric used on the stand
  • Shall be fixed taut or in tight pleats to a solid backing
  • Shall be secured at floor level
  • Shall not ignite when subjected to a flame after 10 seconds
  • Shall not have an afterglow when subjected to a heat source for 10 seconds
  • Any paint used should be water-based and the use of paint sprayers in the halls is not permitted.

All materials used in the construction of stand fitting and displays shall be either:

  • Non-combustible material
  • Flame resistant plastic
  • Flame resistant boarding
  • Timber of any thickness, treated to be flame resistant
  • Timber of any thickness of more than 25mm
  • Chipboard or block board more than 18mm thick
  • A fire-retardant certificate must be provided with all stand design submissions.

Fire Appliances and Information 
The venue will be providing fire patrols during all phases of the event. Fire extinguishers of approved pattern and capacity can be found at various locations around the site according to the risk involved. Instructions will also be supplied, please locate your nearest extinguisher. Exhibitors will be given instructions regarding fire, emergency, and accident procedures prior to the show opening, please ensure all personnel read these carefully. 

  • Fire Exits and Extinguishers / Fire Hose points must never be blocked. 
  • No paint or paint thinner can be placed near the electrical distribution boxes. 
  • Empty cartons/boxes, stand materials and combustible waste must be disposed of and not stored behind stands.  

Fire Exits
Fire exits and signs must NOT be blocked by any exhibitor / stand contractor material or equipment at any time. A one-meter clear gap must be maintained between the stand and venue wall. Access to wall mounted fire hoses, extinguishers and manual call points must always be kept clear. Storage of boxes, materials, ladders, paints and general waste is not permitted at any time behind the stands.

Failure to adhere to the fire exit regulation will incur a non-compliance fee.

Heavy Machinery Display / Forklift 
If vehicles / heavy machinery / heavy equipment is to be displayed on your stand you must plot the locations of these displays in your stand design submission. Ensure to coordinate your requirements with the official freight and onsite handling team – DSV or Airlink International as the only company authorized to perform any onsite mechanical handling in the hall. For health and safety reasons, only forklifts belonging to the official freight partner – DSV or Airlink International may be used on site for offloading, reloading, and positioning. The only exception is those that belong to the organizers and/or the venue appointed contractors.

Live Demonstrations / Talks/ Seminars/ Entertainment - Permits & Approvals Guide for Exhibitors
Important - The Dubai Department of Economic Development (DED) requires various permits for anyone speaking or performing during the event or for exhibitors wishing to run raffle competitions. Failure to apply for the relevant permits as detailed below, or if approval has not been given and performances or presentations/ seminars/ talks go ahead, the exhibitor will be subject to non-compliance fees and DET penalties, which can be up to AED 10,000 – 20,000 per performer/ speaker/ Instance.

  • Live Demonstrations - approval required

    • Process: 
  • Presentations / Talks / Seminars on your exhibition space - Speaker permits 
    • Permits Required If:
      • The setup includes a microphone and chairs on your exhibition space.
      • The talk is held in a public space (not a closed meeting room)
      • Anyone addressing an audience (the audience can be staff, partners, or customers)
    • Permits Not Required If:
      • Exhibitor is only explaining products/services without dedicated seating

  • Press Conferences – Speaker Permits
    • Permits Required: Yes
    • Process:

      • Include: Names of all speakers at the press conference, this includes anyone who may address the audience even briefly. We will apply for the required permits on your behalf

  • Live Entertainment – Performance permits
    • Examples: Singers, musicians, dancers, DJs, models, band players, artists
    • Permits required: Yes, permit required per performer on your exhibition space.
    • How It Works:
      • We will apply for performance permits on your behalf under the main event license
      • A fee per performer applies (contact the show team for details)
    • Process:

Smoking Policy 
Smoking is strictly prohibited throughout the halls. There will be a smoke-free policy implemented during all stages of the exhibition. Smoking will only be allowed in designated areas outside of the halls.
